Voicemail and transcription

Listen to, read, forward, download, and delete voicemail in ConnectUC, and set your greeting and PIN.

ConnectUC → Voicemail Every user 5 minutes

ConnectUC shows your voicemail as a list, newest first, so you can pick which message to hear instead of listening in order. If transcription is turned on, you can read messages too.

Listen to a voicemail

A red number on the Voicemail tab tells you how many messages are new.

  1. Click Voicemail in the left-side menu (on mobile, tap Voicemail).
  2. Click a message.
  3. Press play. Drag the play bar to skip ahead or go back.

Once you open a message, it’s marked as read. To flag it again, click Mark as Unread at the top right of the message.

Read the transcription

If voicemail transcription is on for your account, the text of the message appears under the play bar. It’s great for skimming, but it isn’t always perfect, so listen when details matter.

Don’t see any text? Transcription may not be turned on. Ask your admin.

Call back, forward, or download

From an open voicemail you can:

  • Call Back: click the button at the top right. Or hover over the message in the list and click the phone icon.
  • Forward: click the forward icon to the right of the play bar, then pick the coworker or mailbox that should get it.
  • Download: click the download arrow to save the audio file to your computer.
  • Share: click Share to send the voicemail to coworkers through Chat, with a comment. On mobile, share sends the message as an audio file.

Sort and filter

Click the Filter icon next to the VOICEMAIL heading to show only Read or Unread messages, or to Show Recently Deleted.

If you also get messages for a shared mailbox, like a sales or front desk line, click the arrow next to the Voicemail tab to view one mailbox at a time.

Delete messages

  • One message: hover over it and click the trash can icon.
  • Several messages: click the round avatar on each one, then click Delete at the top.

Tip: Deleted something by mistake? Deleted messages stay under Recently Deleted only until the overnight cleanup, so restore them the same day. Open it with Show Recently Deleted in the Filter menu, then click Restore.

Set your greeting and voicemail options

  1. Click your user icon, then Preferences → Voicemail.
  2. Next to Voicemail Greeting, click Add new greeting. Give it a name, then choose a Recording Method: Text-to-speech (type a message and pick a voice) or Upload or Record (record with your microphone or upload an audio file). Click Save.
  3. Set your Recorded Name with the Recorded Name link.
  4. Click Change voicemail PIN to set a new PIN.
  5. Under Unified Messaging, choose how new voicemail is emailed to you, and whether to get an email when your mailbox is full or after a missed call.
  6. Click Save.

At the top of the same section are switches for Enable voicemail, Announce voicemail received time, Announce incoming call ID, and Confirm Voicemail deletion. You can also set an Operator Forward extension and Copy to Extension(s) to send copies of your messages to coworkers.

Common questions

Can I get voicemail by email?

Yes. Use the Unified Messaging drop-down in Preferences → Voicemail to choose an email option, then click Save.

Why is a message I left myself not showing?

New voicemail can take a moment to appear. If your computer was asleep, refresh the page or sign out and back in.

Can I check voicemail from a desk phone?

Yes. Your desk phone has its own voicemail button or access code. You’ll need your voicemail PIN.
