Export your reports

Download call history as a spreadsheet file, and schedule regular exports by email or file transfer.

Manager Portal → Reporting → Call History Office Manager or Call Center Supervisor 5 minutes

Exporting turns your call data into a spreadsheet you can open in Excel or Google Sheets. Use it to share numbers with your boss, keep records longer than the portal does, or build your own charts.

Export call history

  1. Go to Reporting. The Call History tab opens.
  2. Select Filters and set the date range, number, user, or call type. The export includes only the calls that match.
  3. Select Export at the top right.
  4. A CSV file downloads to your computer right away.
  5. Open it in Excel, Google Sheets, or Numbers.
The Call History tab with date and caller filters applied and the Export button highlighted

Tip: Each export covers up to 31 days. Call history is kept for at least 3 months, so export regularly (or set up Scheduled Exports) if you need records for longer.

Schedule regular exports

Instead of exporting by hand every month, you can have the portal do it for you.

  1. In Call History, select Scheduled Exports.
  2. Select New Export.
  3. On the Basic tab, enter a Name and set Enabled to Yes.
  4. Choose how often it runs: Monthly, Weekly, Daily, or Custom.
  5. Under After Completion, choose Email Attachment to have the file emailed, or Upload via FTP / Upload via SFTP to send it to a server. You can also check Send an email when the export completes.
  6. Check Also run this export immediately if you want a sample right away.
  7. Select Next to review the Options tab, then save.

Select Back to Call History to return to your calls.

Tips for clean spreadsheets

  • Use the same date range each time (for example, the 1st to the last day of each month) so your numbers compare fairly.
  • Keep exports somewhere safe. They can include customer phone numbers.

Heads up: Exported files may contain private customer information. Store and share them carefully.

Common questions

The file opens with strange characters or one big column. What’s wrong?

Open it with your spreadsheet program’s import option and choose “comma separated.” In Excel, use Data → From Text/CSV.

Can reports be emailed to me automatically?

Yes. Use Scheduled Exports with Email Attachment (see above).

Can I export queue and agent statistics?

Queue and agent statistics reports aren’t on the Reporting tab of every account. Contact Dial Raven support at support@dialraven.com if you need them.

Do exports include recordings?

No. Exports contain call details only. Download recordings separately. See Find, play and download call recordings.
