Set up a conference bridge
Create a conference bridge with leader and participant PINs so your team and outside callers can meet on one call.
A conference bridge is a “meeting room” on the phone. Everyone dials the same number or extension, enters a PIN, and joins one call. Use it for team huddles, client calls, and meetings with people outside your company.
Two kinds of bridges
- Dedicated conference bridge — A shared bridge anyone in the company can use. Easy to set up, but two people might try to use it at the same time.
- Owned conference bridge — Belongs to one user. Only that person hosts meetings on it. Good for managers who run regular calls.
Heads up: Conference bridges may affect your bill. If you don’t see Add Conference or need more bridges, contact Dial Raven support at (434) 697-2836.
Create a conference bridge
- Go to Conferences.
- Select Add Conference.
- Enter a Name, such as “Team Meeting.”
- Choose the Type:
- For a Dedicated conference bridge, enter an unused Extension. Conference bridges use the 400s, such as 400. It can’t be changed later.
- For an Owned conference bridge, choose the user who owns it.
- Optionally pick a Direct Phone Number so outside callers can dial straight in. Only numbers on your account that aren’t already in use are listed.
- Set a Leader PIN. The leader can mute or remove people.
- Set a Participant PIN for everyone else.
- Choose any other options you want (see below).
- Select Save.
Helpful options
- Minimum participants to start — Callers hear hold music until this many people (1 to 5) have joined.
- Require a Leader to start — The meeting doesn’t begin until the leader joins.
- Announce participant arrivals/departures — Plays an announcement when someone joins or leaves.
- Prompt all participants for their name — Asks each caller to say their name when they join.
How people join
Coworkers inside your company:
- Dial the bridge’s extension.
- Enter the participant PIN (or the leader PIN, if they’re the leader) when asked.
Callers from outside:
- Dial the phone number that points to the bridge.
- Enter the PIN when asked.
To let outside callers join, choose a Direct Phone Number for the bridge, point one of your phone numbers at it in Inventory, or add the bridge to an auto attendant key (the Conference application). See Phone numbers and devices in Inventory.
Tip: Put the dial-in number and participant PIN in your calendar invite. Keep the leader PIN private.
Common questions
Can I change the PINs later?
Yes. In Conferences, select the pencil icon on the bridge’s row, change the PINs, and select Save. Let regular callers know the new PIN.
Callers hear music and nothing happens. Why?
The bridge is likely waiting for the leader or for the minimum number of participants. Have the leader dial in with the leader PIN.
Can I record a conference?
Recording options depend on your account. Contact Dial Raven support to learn what’s available.
